Start with the problem, not the tool
Before comparing products, describe the problem you want to solve in a few sentences. “We lose track of deliveries” or “customer history is scattered” are clearer starting points than a feature list.
Questions to ask
- Does it address our main operational problem?
- Can our team understand it without specialist training?
- Does it connect the areas of information we use together?
- Is it clear how our data is handled and protected?
- Are the company’s policies and contact details published openly?
Be wary of exaggerated claims
Specific promises of time saved or productivity gained are hard to verify. Prefer vendors who describe clearly what their product does and let you judge the fit.
Consider adoption
The best software is the one your team will actually use. Simpler tools that become part of daily routines often deliver more value than powerful tools that are used occasionally.
Plan a gradual transition
Move one area at a time — for example, active projects first — rather than migrating everything at once. This keeps disruption low and builds confidence.
