Digital workflows: organizing business processes in small companies

How to describe, simplify and digitize the processes your business repeats every week.

What a workflow is

A workflow is the sequence of steps your business follows to get something done — from receiving an order to delivering it, or from a customer enquiry to a completed job. Most businesses already have workflows; they are simply not written down.

Map one workflow

Pick a process you repeat often. List each step, who does it and what information they need. This often reveals unnecessary steps or handovers where information gets lost.

Simplify before digitizing

Digitizing a confusing process produces a confusing digital process. Remove steps that add no value and clarify responsibilities first.

Give each step a home

Decide where each step is recorded: a task in a project, a delivery record, a note on a customer. When every step has a place, the workflow becomes visible.

Review and refine

Workflows change as a business grows. Review them periodically and adjust them based on what the team experiences.
